How to request deletion
- Send an email to [email protected] from the same email address registered on your Hibox account. You may also copy [email protected].
- Use the subject line: Account deletion request – Hibox Non-Profit
-
Include:
- Full name
- Account email
- Organization / nonprofit name (if applicable)
- Optional: phone number on the account
- We will verify that you own the account, then process the request.
Timeline: We aim to complete verified deletion requests within 30 days (or sooner when possible). Where applicable law allows a longer period, we will complete the request within that period (typically 30–45 days) and will tell you if we need more time.
What we delete
After verification, we delete or irreversibly anonymize data tied to your user account, including where applicable:
- Account credentials and authentication identifiers for your login
- Profile information (for example name, email, phone, and profile photo)
- App-linked preferences and settings for your user
- User-generated uploads associated only with your personal account (where not required to be retained by the organization for legal or program reasons)
Closed account data that is not required by law is retained for up to 90 days after the account is closed, then deleted or anonymized, as described in our Privacy Policy.
What we may retain
Some information may be kept when necessary for legal, security, fraud-prevention, accounting, audit, or contractual obligations, for example:
- Security / access logs and fraud-prevention records (audit logs typically up to 12 months)
- Billing, payment, or financial records required by law (typically at least 7 years)
- SMS opt-in and opt-out records (kept for the duration of the account plus a minimum of 4 years to satisfy TCPA recordkeeping)
- Records your organization must retain for compliance, safeguarding, or program administration (these may remain under the organization’s retention policy even after your personal login is removed)
- Anonymized or aggregated analytics that no longer identify you
Retention period: Retained items are kept only as long as needed for the purposes above, then deleted or anonymized. Typical periods are 12 months for security audit logs, 90 days for remaining closed-account data that is not legally required, at least 7 years for billing and tax records, and as required by applicable law for other legal or program records.
Organization-managed client records
Hibox is used by nonprofits to manage programs and clients. If your personal login is deleted but the organization still lawfully holds client or program records that reference you (or people you manage), those organization records may continue to be controlled by that organization under its policies and applicable law. Contact your organization administrator as well if you need those records reviewed.
